Verification of Status (VOS) and replacement of immigration documents helps you recover immigration information or documents that have been lost, stolen, or damaged. KeyApply assists in identifying the appropriate requirements and preparing the IMM 5009 application.

What is the difference between VOS and document replacement?

• VOS: Records immigration history information, such as the date and place of entry, from a Record of Landing, COPR, or other documents. IRCC issues the verification on plain paper and does not reissue the original document. VOS cannot be used for travel or as a form of identification.
• Replacement of valid documents: Applies to a Visitor Record, Work Permit, Study Permit, or Temporary Resident Permit.

Information required

Prepare your UCI if available, passport information, names used upon entry, the date and place of issuance, and the document number or issue and expiry dates. Requests for replacement only apply when the document has not expired and you must have a mailing address in Canada.

If lost or stolen, provide a police report number; if unavailable, provide an explanation in the application. If you do not know your UCI, you may leave it blank as per the instructions. Applicants under 18 must sign the form together with a parent or legal guardian.

Application process

1. Review the IMM 5545 instruction guide and the checklist in IMM 5009; prepare identification documents and appropriate evidence.
2. Complete, sign, and date the form; include IMM 5476 if using a representative.
3. Pay the IRCC fee and attach the receipt.
4. Send the paper application to the Operations Support Centre in Ottawa at the current address specified in the IRCC guide; it is recommended to use a service with tracking.

Government fees and urgent requests

The standard IRCC fee is 30 CAD per document. There are cases where fees are waived as per the instructions, including for certain beneficiaries and requests for VOS to confirm Protected Person status when not yet a permanent resident or citizen.

IRCC has criteria for urgent processing related to retirement applications, serious illness/bereavement, or risk of job loss. Proof is required and you must mark "URGENT" on the envelope; see full eligibility criteria at the official source.

Need to correct information or process other documents?

To correct a Record of Landing or COPR, you must use the IMM 5218 procedure. Lost PR cards, the need to renew permits, or restoration of immigration status must be evaluated under separate procedures; selecting document replacement does not substitute those procedures.
