Procedure Steps

Applications for a Vietnamese birth certificate for children can be done entirely online. You may call for further clarification: 647 805 1500

The Embassy announced on January 25, 2024, that an original Vietnamese birth certificate is only issued a few days after the baby's birth. If you have already registered for a Canadian birth certificate, the Embassy can only issue a Vietnamese birth certificate extract, not the original document. If you intend to withhold information to obtain the original Vietnamese birth certificate, be aware that if discovered, the birth certificate will be revoked.

A "birth certificate extract" (trích lục khai sinh) is an exact copy of the information contained in the original birth certificate. It contains all key information such as name, date of birth, place of birth, and parents' information, but it is not the original document; it is a reproduction. A birth certificate extract is commonly used in situations where the use of the original birth certificate is not strictly necessary or when the original cannot be accessed. This extract is considered official legal proof of a person's birth event and is accepted in many administrative and legal situations.

Regarding the issuance of the Personal Identification Number:

  • Currently, as the electronic civil status software is not yet used abroad, Embassies cannot connect to the domestic civil status database. Therefore, providing a Personal Identification Number for children registered for birth at Vietnamese Embassies abroad is not yet possible. The Embassy will notify you when it becomes possible to provide the Identification Number.

For documents, please send scans/straight-angle photos via email to info@keyapply.com

  • Birth registration form (Download birth registration form), or birth certificate extract form (Download birth certificate extract form)
  • Digital portrait photo, white background, no hat (can be taken at home, no need to go to a photo studio)
  • Birth certificate/proof of birth (for children born within the last few days). If you have a hospital proof of birth, the Embassy will issue an original Birth Certificate. The original is a high-quality color document.
The proof of birth is the document sent home by the hospital; only the sheet containing the hospital and baby's information is needed.
Alternatively, you can use the tag attached to the baby's crib like this sample:

If you do not have all of the above documents, the Embassy will issue a Birth Certificate Extract. While the legal value is the same, the extract is just a plain printed sheet and is not as attractive. You will not be able to apply for a birth certificate later if you have already accepted the proof of birth.
  • Father's Vietnamese passport
  • Mother's Vietnamese passport
  • Parents' marriage certificate (if available). If there is no marriage certificate but you want the father's name on the birth certificate, you must also complete a father recognition document.
  • If one parent does not hold Vietnamese citizenship, include a written agreement on the child's citizenship choice (DOWNLOAD citizenship agreement) + the Canadian passport of that parent

Frequently Asked Questions

Are service fees calculated in CAD or USD?
Service prices are calculated in CAD, excluding taxes. Taxes are calculated based on the customer's address during the checkout process.
Can I use the service invoice for tax filing?
KeyApply provides an invoice. Whether the fee is deductible or can be included in tax expenses depends on applicable regulations; please consult your accountant.
How much does it cost to receive documents by mail?
Shipping fees are calculated at checkout based on the address and shipping method.
How long does it take to receive results?
The estimated time is approximately 2–3 weeks, excluding shipping, and may vary depending on the file and the consular agency. If you need it urgently, please discuss this in advance.
Can a child's registered hometown follow either the father or mother?
Hometown information is determined by the parents' agreement and applicable civil status regulations; this must be stated consistently on the declaration form and related documents.
If a child already has a Canadian birth certificate, is it necessary to register for a Vietnamese birth certificate again?
If the birth was registered with Canadian authorities, it is usually necessary to consider the procedure of "recording a birth registered abroad" (ghi chú khai sinh) rather than re-registering the birth event. The consular agency will determine the appropriate procedure.
What is the difference between a birth certificate and a birth certificate extract?
A birth certificate is issued when registering a birth; a civil status extract is a document issued by competent authorities to prove a registered civil status event. The utility depends on the requirements of the receiving agency.
Can the father's name be listed on the birth certificate if the parents are not married?
It may be necessary to perform paternity recognition procedures and provide documents proving the relationship as required by civil status or consular authorities.
What if one parent is a foreign national?
You may need a written agreement on the child's citizenship and the parent's citizenship documentation, depending on the case and conditions under Vietnamese citizenship law.
Can application photos be taken with a phone?
Yes, they can be taken with a phone if they are clear, have a white background, are well-lit, are taken facing straight ahead, and meet the requirements of the receiving agency; do not use filters that alter facial features.
Will children born abroad and registered for birth receive a personal identification number immediately?
The issuance of an identification number depends on the connectivity and current processes of civil status authorities; you should verify directly with the consular agency at the time of submission.
