Updating to chip-based passports in Canada

Instructional reference

As of April 1, 2026, the Embassy of Vietnam in Canada will accept applications for chip-based passports. Applicants must appear in person for biometric collection and verification. Children under 14 are not eligible for this type.

Applicants may choose a non-chip passport; both types hold equal validity. Postal submissions require approval from the Embassy. Those who do not attend for biometric collection will be issued a non-chip passport.

KeyApply assists in preparing and coordinating procedures; final issuance decisions rest with the consular authority.

Procedures

Dear customers,

We will guide you through the process of obtaining a Vietnamese passport. We provide services to clients in the US, Canada, and other countries worldwide.

To apply for a passport, you need to provide information and scan required documents. Then, you email them to the company or upload them directly on this page. After receiving your documents, we will review them and contact you if additional information is required. Therefore, do not worry about whether your documents are sufficient. We will contact you to complete your file. There are only two steps:

Step one:

You need to identify which type of passport you are applying for:

  • If your current passport is still valid, select "Valid Passport".
  • If it is a child's first passport, also select "Valid passport / Child's first passport". However, for a child's first passport, you must provide a Vietnamese birth certificate. If you do not have one, you will need to provide additional documents to obtain it. We will cover this in the Vietnamese Birth Certificate section.
  • First-time passport for someone 14 years or older, or a passport that has been expired for 5 years or more.
  • Passport expired for less than 5 years.
  • Passport still valid but lost or damaged and unusable.
  • Passport lost a long time ago with no information available regarding the lost document.

Then click on the shopping cart.

Next, you will select the remaining two items if:

  • Endorsements: if you need to add extra information to your new passport, such as an English name on a Canadian passport, a new legal name, old passport numbers, etc.
  • If you need expedited service, contact KeyApply to check availability before selecting it; the issuance time is determined by the consular authority.

Then click on the shopping cart to add additional services.

Step two: Uploading information

Documents you need to prepare:

  1. Starting March 9, 2026, all new passport applications must be filled out online at the following link: https://passport.mofa.gov.vn.
    Please note:
    In the requirements section: Select the appropriate passport type;
In the electronic passport section: select the submission method you have confirmed; see the chip instructions at the top of the page.
    Provide complete and accurate information.
Obtain the declaration code, print, sign, and submit it with your application file.

  2. The address must be the updated address following administrative mergers. Names and addresses of relatives must be clear (father, mother, or relative and address according to the new merger).
  3. The Embassy only processes files that include the declaration code.

  4. Portrait photos: 02 photos with a white background, size 4 × 6 cm, taken facing forward within the last 6 months. You may send the photo file for verification first; submitted photos must meet the requirements.
  5. Prepare valid documents proving your presence in Canada. If residency documents are expired, contact us to verify if additional documents are needed.
  6. Email mia@keyapply.com (CC info@keyapply.com)
    - Passport application/renewal form (attached file). (Parents may sign for applicants under 14)
    - Scan of original passport
    - Scan of National ID card or identification number stated in the application (straight, no glare, clear text and numbers)
    - Scan of Vietnamese birth certificate (if under 14)
    - Scan of documents proving legal residency in Canada (PR, Canadian Passport, work permit, study permit...)
    - Digital 4x6 photo file with white background. (Photo can be taken at home, no hats or glasses, clear view of the face on a white background)
  7. After KeyApply confirms the submission method and address, please mail: Original passport

If your passport is lost, you also need:

  • A police report from the local police department (obtain the Report Number).
  • Vietnamese ID card or Citizen Identity Card (if available).

If applying for a first-time passport for someone 14+ or a passport lost long ago, you need:

  • Identity verification documents (please call us for instructions). This case may take longer than standard processing times.
  • Birth certificate, or ID card, or Vietnamese Citizen Identity Card (if available).
  • Additional verification documents may be requested if necessary.

After preparing the documents above, you can upload them to this site or email them to the company, whichever is more convenient for you.

Finally, go to your shopping cart and pay the service fee. If you choose to have the new passport mailed to your home, you will see the system automatically calculate postage or courier fees based on your selection.

You can refer to the FAQ section at the bottom of the page for more information. If you cannot find your question, please call or email the company to have your concerns addressed.

Thank you for following along, and we hope this information is helpful to you when applying for a Vietnamese passport online.

Frequently Asked Questions

Click on a question to see the answer.

Are service fees calculated in CAD or USD?
Prices are displayed in CAD, excluding taxes and shipping. Additional fees, if any, must be confirmed based on the file type before proceeding.
Can I use the invoice for tax filing?
KeyApply provides an invoice; tax deductions or filings depend on tax regulations and your specific usage purpose. Please consult your accountant.
Can I keep my old passport?
This depends on the procedure and how the issuing authority handles old passports. If your old passport contains a valid visa, check the regulations of the visa-issuing country and the airline before using it alongside your new passport.
Does the passport number change when I get a new passport?
Usually, a new passport will have a new number. You need to update your information with relevant agencies or organizations; however, old documents do not automatically become invalid just because the passport number has changed.
Can I apply for an electronic chip passport in Canada?
Yes, following the current instructions of the Embassy; chip-based applicants may need to appear in person for biometrics. Children under 14 are issued non-chip passports.
How long is a Vietnamese passport valid for?
Ordinary passports for individuals aged 14 and older are valid for 10 years; those under 14 are valid for 5 years. Ordinary passports cannot be extended.
Does the passport show the citizen identification number?
Information printed on the passport is based on the format and data confirmed by the issuing authority. Do not assume all passports issued in Canada will or will not contain this number.
Can I apply for a passport if my Canadian residency document is expired?
Each case must be checked with the consular authority, and additional documents may be prepared if requested.
Do I need to sign the passport?
The passport holder must sign according to the instructions. For children under 14, do not let parents sign in place of the child's signature.
If I changed my name in Canada, can I have the new name on my Vietnamese passport?
Name changes on a Vietnamese passport must be based on civil status records and valid supporting documents. Requests for notes on a different name must be approved by the consular authority.
How long does it take to receive the results?
It depends on the type of application, identity verification, submission of additional documents, and shipping. Lost passports, first-time applications, or those requiring verification may take longer.
What is the shipping fee to my home?
The system calculates courier fees at the checkout step based on your address and the chosen courier.
Do children applying for a Vietnamese passport for the first time need a birth certificate?
Typically, a Vietnamese birth certificate or suitable civil status document is required. If a child born in Canada has not completed the Vietnamese birth registration, please check and complete this first or follow the consular authority's instructions.
Can passport photos be taken with a phone?
You can send photos taken by phone for review if they are sharp, have a white background, and meet the required proportions and technical specifications. The official submitted photo must meet the authority's standards.
